Once you choose Integrity Property Management to manage your property, our goal is to make the transition as organized and seamless as possible. We take care of the day-to-day responsibilities of managing your rental property while keeping you informed and involved in the decisions that matter.

Here's what you can expect.

1. Property Inspection & Initial Setup

We begin with a thorough inspection and property assessment so our team understands the property from day one.

Our initial property setup includes:

  • Detailed documentation of the property's interior and exterior condition.

  • Identification and documentation of key utilities and equipment, including the furnace or boiler, electrical meter and panel, gas meter, oil or propane tanks, and other important systems.

  • Recommendations for necessary repairs, preventative maintenance, and general property upkeep.

  • Installation of a discreet lockbox to provide authorized access for our management team and approved vendors.

  • Documentation of important property information, warranties, inspection reports, leases, and other records.

2. Prepare & Market the Property

Once the property is ready, we develop a leasing strategy designed to attract qualified tenants while minimizing vacancy.

Our leasing services include:

  • Establishing a competitive market rental rate.

  • Preparing the property for marketing.

  • Marketing the rental property across 46 popular rental websites for broad exposure.

  • Managing inquiries from prospective tenants.

  • Collecting and processing rental applications.

3. Tenant Screening & Selection

Finding a tenant is only part of the process. Finding the right tenant is critical to protecting your property and investment.

We conduct a consistent screening process that may include:

  • Identity verification.

  • Income and employment verification.

  • Credit history.

  • Rental history.

  • Eviction history.

  • Background screening, where permitted by law.

  • Other screening criteria established in accordance with applicable laws and our rental qualification standards.

After screening is completed, we present qualified applicants to the property owner along with our recommendations.

The final tenant selection remains with the owner.

4. Lease Signing & Tenant Move-In

Once an applicant has been approved, we coordinate the move-in process from start to finish.

This includes:

  • Preparing and executing the rental agreement.

  • Collecting the required move-in funds.

  • Confirming required renters insurance.

  • Coordinating the exchange of keys.

  • Completing a detailed move-in inspection and documenting the property's condition.

  • Maintaining the inspection documentation throughout the tenancy.

This creates a documented baseline for the property's condition when the tenant takes possession.

5. Rent Collection & Payments

We handle the ongoing rent collection process so owners don't have to spend their time tracking payments and following up with tenants.

Our management services include:

  • Monitoring monthly rent payments.

  • Following up on unpaid or delinquent rent.

  • Processing owner distributions according to the management agreement.

  • Providing clear records of rental income and property expenses.

6. Property Accounting & Financial Management

Your property is a business, and accurate accounting is an important part of successful property management.

We provide:

  • Recording and tracking of rental income and expenses.

  • Payment coordination for approved property expenses, which may include utilities, mortgage payments, HOA dues, insurance, and other property-related expenses.

  • Monthly financial reporting.

  • Detailed documentation of expenses through invoices and receipts.

  • Bank and account reconciliation.

  • Organization and retention of important financial and property records.

  • Annual financial reporting to help owners and their tax professionals prepare for tax season.

  • Required tax reporting documents, including 1099s where applicable.

7. Maintenance, Repairs & Vendors

We coordinate the ongoing maintenance of your property and help identify problems before they become larger and more expensive repairs.

Our maintenance management includes:

  • Receiving and evaluating tenant maintenance requests.

  • Reviewing photos and information submitted through the tenant portal.

  • Obtaining owner approval when required.

  • Coordinating repairs and maintenance.

  • Overseeing contractors and vendors.

  • Establishing preventative maintenance recommendations.

  • Maintaining a network of qualified, licensed, insured, and vetted contractors.

  • Coordinating landscaping, snow removal, trash and debris removal, and other exterior maintenance.

  • Maintaining access to a 24-hour emergency maintenance line.

Owner-Directed Vendors

You remain in control of your property.

If you already have contractors or vendors you trust, we can work with the vendors you choose. When you prefer, we can also provide qualified vendor options and obtain estimates for your approval.

8. Routine Property Inspections

Property inspections help identify maintenance needs, safety concerns, unauthorized alterations, and other issues before they become bigger problems.

We perform periodic inspections as appropriate for the property and management agreement and provide owners with documentation and recommendations when issues are identified.

9. Tenant Communication & Ongoing Management

Throughout the tenancy, Integrity serves as the primary point of contact for the tenant.

Tenants can use their online portal to:

  • Submit maintenance requests.

  • Provide photos and details about problems.

  • Access important documents.

  • Communicate with the management team.

  • Receive important property-related communications.

This allows us to handle the day-to-day issues of the tenancy while keeping the owner informed when an issue requires their attention or approval.

10. Lease Renewals & Tenant Retention

As a lease approaches expiration, we evaluate the tenancy and current rental market conditions.

When appropriate, we can:

  • Review current market rents.

  • Make recommendations regarding renewal terms.

  • Coordinate lease renewals.

  • Communicate renewal options with the tenant.

  • Prepare updated lease documentation.

The objective is to retain good tenants while keeping the property positioned appropriately in the rental market.

11. Eviction Coordination

If a tenancy reaches the point where legal action is necessary, we coordinate the administrative side of the process.

This may include coordinating with:

  • Attorneys

  • Process servers

  • Court-related professionals

  • Property vendors

  • Owners

We keep the owner informed throughout the process and coordinate the property management responsibilities while the legal professionals handle the legal proceedings.

12. Tenant Move-Out

When a tenant moves out, we coordinate the transition to the next tenancy.

Our move-out process includes:

  • Collecting keys and access devices.

  • Inspecting the property.

  • Comparing the property's condition with the documented move-in condition.

  • Documenting changes or potential damages.

  • Coordinating necessary repairs and cleaning.

  • Preparing the property for the next tenant.

  • Beginning the process of re-marketing the property when appropriate.
